Whenify ("we", "us", "our") is an event scheduling and availability polling service operated by Rhys Williams, based in England and Wales. You can contact us at rhyswilliams1989@gmail.com.

2. What Data We Collect

We collect the following information when you use Whenify:

• Account information — your name and email address when you register.
• Event data — event titles, descriptions, dates, and availability responses you create or submit.
• Calendar integration tokens — if you connect Google Calendar or Outlook, we store OAuth access tokens to push finalised events to your calendar on your behalf.
• Usage data — basic server logs including IP addresses and page visits.

3. How We Use Your Data

• To provide and operate the Whenify service.
• To send event-related email notifications (e.g. when an event is completed).
• To push finalised events to your connected calendar when you complete an event.
• To improve and maintain the service.

We do not sell your personal data to third parties.

4. Google Calendar Integration

If you choose to connect your Google Calendar, Whenify will:

• Request permission to create and manage calendar events on your behalf.
• Store an OAuth access token and refresh token to maintain the connection.
• Only write events to your calendar when you explicitly complete an event in Whenify.

You can disconnect Google Calendar at any time from your Calendar Settings. Disconnecting will remove your stored tokens from our system.

Our use of Google Calendar data is limited to the purposes described above and complies with the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Retention

We retain your account data for as long as your account is active. To request deletion of your account and personal data, email us at rhyswilliams1989@gmail.com — we will action all deletion requests within 30 days. Event data submitted by guests (without accounts) is retained for as long as the associated event exists.

6. Third-Party Services

Whenify uses the following third-party services:

• Google Calendar API — for optional calendar integration.
• Microsoft Graph API — for optional Outlook calendar integration.
• Transactional email provider — for sending event notification emails.

7. Your Rights

8. Changes to This Policy

We may update this policy from time to time. We will notify registered users of significant changes by email.
