How to Import Calendar Files (.ics)

📅 About Calendar Files

When an event is finalized on Whenify, you may receive a calendar file (.ics) to easily add the event to your preferred calendar app. These files work with all major calendar applications including Google Calendar, Outlook, Apple Calendar, and most mobile devices.

💡 Quick Tip: On most devices, you can simply double-click the .ics file and it will automatically open in your default calendar app!

Google Calendar

Method 1: Automatic Import (Easiest)

  1. Double-click the .ics file you downloaded
  2. Your browser may ask to open with Google Calendar - click "Yes"
  3. The event will be automatically added to your calendar

Method 2: Manual Import

  1. Open Google Calendar in your web browser
  2. Click the gear icon in the upper-right corner
  3. Select "Settings" from the dropdown menu
  4. In the left sidebar, click "Import & export"
  5. Under the "Import" section, click "Select file from your computer"
  6. Choose the downloaded .ics file
  7. Select which calendar you want to add the event to
  8. Click "Import"

Microsoft Outlook

Desktop Outlook

  1. Open Outlook Calendar
  2. Click "File" in the upper left
  3. Select "Open & Export"
  4. Click the "Import & Export" button
  5. Select "Import an iCalendar (.ics) or vCalendar file (.vcs)"
  6. Navigate to and select your .ics file
  7. Choose whether to import as a new calendar or add to existing
  8. Click "Import"

Outlook.com (Web)

  1. Sign in to Outlook.com
  2. Go to the Calendar section
  3. Click "Add calendar" in the left sidebar
  4. Select "Upload from file"
  5. Click "Browse" and choose your .ics file
  6. Select which calendar to import to
  7. Click "Import"

Apple Calendar

Mac

  1. Open the Calendar app on your Mac
  2. Go to "File" in the top menu
  3. Select "Import"
  4. Navigate to and select the downloaded .ics file
  5. Choose which calendar to add the event to
  6. Click "Import"

iPhone/iPad

  1. Tap the .ics file (from email or Files app)
  2. The Calendar app should open automatically
  3. Tap "Add to Calendar"
  4. Choose which calendar to add it to
  5. Tap "Done"

Mobile Devices

Most modern smartphones and tablets can automatically handle .ics files:

  • From Email: Tap the .ics attachment and it should open in your default calendar app
  • Android: Opens in Google Calendar, Samsung Calendar, or your default calendar app
  • iPhone/iPad: Opens in Apple Calendar by default
  • Alternative: Download the file and open it from your device's file manager

🔧 Troubleshooting

File Won't Open?

  • Make sure the file has a .ics extension
  • Try right-clicking and "Open with" your calendar app
  • Some email clients may rename the file - download it first

Event Not Showing Up?

  • Check if it was added to a different calendar
  • Refresh your calendar view
  • Look for the event on the specified date
  • Check your calendar's timezone settings
